The short version: We collect only what you type into our forms, so we can answer your quote request. Analytics cookies are off unless you turn them on. We don’t sell or rent your information. You can ask us to delete it anytime on our privacy request page.

Who we are

BottleFree Solutions (“BottleFree,” “we,” “us”) leases water coolers and ice machines to businesses in Arizona. This policy covers www.bottlefree.com and the information we collect through it. We are based in Scottsdale, Arizona. Our full contact details are at the end of this policy.

What we collect

Information you give us

Quote requests: your first and last name, company, work email, phone number (optional) and ZIP code (optional). We also collect your answers about water and ice needs, office size, industry and current setup. If you came from a product page, we note which machine you were viewing. If you came from our bottle cost calculator, we note the weekly jug count and yearly total you calculated. You can remove either before sending. We also collect any notes you add.
Service requests (existing customers): your name, company, phone, email and, optionally, the machine location, the issue, the best time to reach you and any details you add.
Referrals: your name, company and email, plus the details you share about the business you’re referring: its name and, optionally, a contact’s name, email, phone and any notes. Please share someone’s contact details only if they’re OK with us contacting them.
Privacy requests: your name, email, company (optional), the type of request and any details you provide.
Emails and calls: whatever you choose to share when you contact us directly.

Information from others

If a customer refers your business: we receive the details they share, such as your business name and a contact’s name, email or phone. We use them only to contact you about BottleFree, and we stop if you tell us you’re not interested.

Information collected automatically

Technical data (always): as with any website, our hosting provider receives basic request data such as your IP address, browser type and the page requested. It uses this to deliver and secure the site.
Analytics (only if you opt in): if you select “Accept analytics,” HubSpot’s tracking code records pages viewed, visit times, referring site and an approximate location derived from your IP address. Without your consent, this code never loads.
Bottle cost calculator: it runs entirely in your browser. We don’t receive the numbers you enter unless you choose to request a quote.
Your privacy choice: stored in your browser’s local storage, not in a cookie, so we can remember it. It never leaves your device.

We don’t ask for, and our forms don’t collect, payment details, government ID numbers or other sensitive personal information. Please don’t include them in free-text fields.

How we use it

To respond to your quote request, recommend equipment and prepare a quote.
To schedule and complete service on equipment you lease from us.
To provide, install and service equipment for customers, and to handle billing and support.
To contact a business someone referred to us, and to thank the person who referred it.
To answer privacy requests and other questions.
If you opt in to analytics: to understand which pages are useful and to see which pages someone viewed before requesting a quote.
To protect the site against spam and abuse, and to meet legal obligations.

We don’t sell your personal information, “share” it for cross-context behavioral advertising, or use it for automated decisions that have legal or similarly significant effects. We don’t add quote requesters to marketing email lists unless they ask us to.

We share information only with service providers who help us run the business, under contracts that limit how they can use it:

HubSpot, Inc. (customer relationship management and, with your consent, website analytics). Quote, service, referral and privacy requests are stored in our HubSpot account in the United States. See HubSpot’s privacy policy.
Our website hosting provider, which serves the site and processes the technical data described above.
Professional advisers and authorities, when required by law or to protect our rights, customers or the public.
A successor business, if BottleFree is involved in a merger or sale, subject to this policy.

Our fonts and images are hosted on our own site. We don’t use advertising networks, social media pixels or third-party ad trackers.

Cookies & analytics

Our site sets no tracking cookies by default. HubSpot analytics cookies are set only after you choose “Accept analytics,” and you can change your choice anytime using Cookie settings in the footer. If your browser sends a Global Privacy Control signal, we treat it as a choice to keep analytics off. Full details are in our cookie policy.

How long we keep it

We keep quote and customer information only as long as we need it for the purposes above. That’s typically for the length of any business relationship, plus the time needed to meet legal, tax and accounting obligations. We then delete or anonymize it. We delete quote requests that don’t lead to a customer relationship when they are no longer needed. Analytics cookies expire on the schedule in our cookie policy.

Your choices & rights

Wherever you live, you can ask us to:

Access the personal information we hold about you, or get a copy of it.
Correct information that’s inaccurate.
Delete your information. We’ll delete it from our records and HubSpot unless we must keep something to meet a legal obligation. If so, we’ll tell you what and why.
Stop any marketing emails. Every marketing email includes an unsubscribe link.
Turn analytics off using Cookie settings in the footer.

To make a request, use our privacy request form or contact us. We may need to confirm your identity, usually by replying to the email address on file, before acting on a request. We’ll respond within 45 days. We won’t treat you differently for exercising your rights. You can also use an authorized agent, with proof of their authority.

Security

The site is served over HTTPS, and our forms send data directly to HubSpot over an encrypted connection. We limit access to customer information to people who need it. No method of transmission or storage is perfectly secure, but we work to protect your information. If a breach affects your personal information, we’ll notify you as required by law.

Children

This site is for businesses and isn’t directed to children under 16. We don’t knowingly collect their personal information. If you believe a child has sent us information, contact us and we’ll delete it.

Changes to this policy

If we change this policy, we’ll update the date at the top of this page. If a change materially affects how we use information we already have, we’ll make it clear on the site before the change takes effect.
